Job Summary

Performs secretarial duties for several staff members, including the Pastor.  Responsibilities will include word processing and typing reports and correspondence for parish staff and committee members, creating the weekly bulletin, entering information into parish census and offering envelope database and preparing sacramental records.  Requires previous secretarial experience.

Job Responsibilities

•    Provides secretarial and clerical services to the Pastor, business manager, ministries, and  parish organizations.
•    Provides receptionist services for the parish office including the recording of clear and accurate messages, the handling of routine questions about policies, events, etc., and greeting visitors.
•    Daily retrieval and distribution of mail. Bank runs.
•    Maintains Mass Intention book, cards, and money.
•    Maintains parish donor database.
•    Enters contributions into computer program and reconciles with the deposit.
•    Monitors and orders office supplies.
•    Prepare weekly bulletins.
•    Maintains sacramental records for parish.
•    Coordinates and distributes ministry and money counters lists.
•    Maintains the cemetery database, handles the sales of plots or niches.
•    Bi-weekly entering employee hours for payroll
•    Onboards new employees, works with ArchHR for employee changes, terminations, etc.
•    Assistant the bookkeeper with bi-monthly distribution of statements.
•    Responsible for office supplies, candles, hosts, wine, etc.
•    Annual contribution statements and Status Annimarum
•    Contacts vendors when needed and accompanies vendors around campus when needed.
•    Update and maintain employee information in the Security Alarm System
•    Take funeral and baptism information and coordinated funerals when necessary.
•    Responsible for webpage, call reach, social media, & flocknotes.
•    Type general correspondence.
•    Performs other duties as assigned.
 

Job Requirements

•    Must be computer literate and have experience using copiers, fax machines and other office equipment
•    Experience with Microsoft Office applications (Word, Excel, Publisher, etc.) required
•    May need to know bookkeeping software or other business software
•    Must have proficient typing skills
•    Must have three to five years experience working in a general office environment

•    General knowledge and support of the Catholic Church, Catholic sacraments, Catholic rites and liturgies.
•    Must have well developed “people skills” in interacting with all who come to the parish office
•    Must have ability to communicate verbally and in writing
•    Must be organized with office files and volunteers
•    Must be able to maintain confidentiality in all matters
•    Must be willing to work a flexible schedule with occasional overtime

Relationships Requirements
•    Will work closely with the Pastor and other parish employees
•    Will have frequent interaction with parishioners and various parish organizations
•    Must be able to work well with outside contractors and vendors
