Job Summary

Immaculate Conception of Dardenne is seeking a School Bookkeeper to provide essential administrative and financial support. This part-time, full-year position involves overseeing tuition management, handling accounts payable and receivable, managing payroll preparation for hourly staff, and assisting with various school administrative tasks.  This position has the potential to be hybrid.  

Job Responsibilities

Maintain and organize school financial records, purchase orders, invoices, and payments

Maintain accurate records for miscellaneous and expense accounts according to the requests and needs of the Parish Bookkeeper

Reconcile bank statements, credit card statements

Maintain tuition agreements

Oversee scholarships and financial aid processes

Coordinate with the Today and Tomorrow Educational Foundation (TTEF) for scholarship management & MO Scholars

Verify applications for ICD scholarship assistance

Oversee and collect HSO fees, registration fees, fines, and other related payments

Prepare bi-weekly payroll for hourly employees

Oversee deposits of cash and checks into school accounts

Order necessary supplies, materials, and school-related items

Maintain information across online software systems, including TTEF, Homebase, My School Bucks, and FACTS

Support general office functions, organizing files and filing

Job Requirements

  • Experience in accounting, bookkeeping, or financial management preferred.
  • Familiarity with online financial systems (FACTS, My School Bucks) is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills and ability to work with school families, parish staff, and external partners.
