As a member of the Federation of Catholic Charities, we serve the metropolitan and surrounding St. Louis area through four core programs: prevention, education, treatment, and housing. 

Summary

The Manager of Intake Services oversees the intake and admissions process to ensure a smooth and trauma-informed experience for individuals entering treatment. This role involves a blend of direct clinical responsibilities and departmental management, ensuring intake assessments are performed efficiently while maintaining quality standards across all intake and admission functions.

Overview and Responsibilities

This position is responsible for:

▫ 50% Clinical Responsibilities – Performing intake assessments, diagnosing, admitting clients, and referring them to appropriate programs.

▫ 50% Management Responsibilities – Overseeing intake staff, ensuring quality standards, maintaining compliance with regulatory requirements, and supporting overall clinical operations in both residential and outpatient treatment programs.

▫ Clinical Responsibilities (50%)

◦ Conduct intake assessments, including psychosocial evaluations and diagnostic assessments, to determine program eligibility.

◦ Complete the client’s initial treatment plan upon intake.

◦ Review all treatment related records and assign appropriate clinical diagnosis.

◦ Administer screenings covering substance use disorder, mental health, trauma, and daily functioning.

◦ Provide individual counseling, evaluations, and referrals, ensuring a smooth transition into treatment.

◦ Maintain client records in accordance with DMH, accrediting body, and agency standards.

◦ Communicate with external agencies, including detoxification centers, treatment facilities, and referral partners.

◦ Participate in team meetings, supervision, and case consultations as needed.

◦ Meet weekly billing expectations related to clinical duties.

◦ Perform other duties as assigned within the scope of the position.

▫ Management Responsibilities (50%)

◦ Supervise and support full-time intake assessor, benefits coordinator and intake coordinator ensuring high-quality and efficient client admissions.

◦ Ensure appropriate census is maintained.

◦ Monitor and maintain compliance with licensing and accreditation standards.

◦ Review assessments of intake department to ensure standards, assignments, and diagnosis are accurate.

◦ Ensure that intake processes align with best practices in trauma-informed and family-centered care.

◦ Track and report on key intake metrics, identifying opportunities for process improvements.

◦ Collaborate with Residential and Outpatient Directors to facilitate a smooth transition from intake to the appropriate programs.

◦ Collaborate with Residential Director to efficiently manage bed waitlist and ensure clients are transitioned from outpatient to residential as expediently as possible when appropriate.

◦ Work closely with Sr. Director of Community Services to facilitate admissions from community partners to outpatient and residential treatment as appropriate.

◦ Participate in agency meetings as requested, contributing insights from the intake perspective.

◦ Provide ongoing training and development opportunities for intake staff.

◦ Collaborate with other clinical and administrative teams to enhance service delivery.

◦ Perform regular quality checks of service delivery related to the intake department.

◦ Participate as a key member of the File Review Committee to assist with ensuring clinical quality and compliance.

◦ Perform other duties as assigned within the scope of the position.

Skills Required for Success in Job

Supervisory or leadership experience preferred.

-Excellent interpersonal, communication, and critical thinking skills.

Preferred Qualifications

▫ Master’s degree in social work, counseling, psychology, or a related field.

▫ Missouri PLPC, LPC, LMFT, LCSW preferred.

▫ Strong knowledge of trauma-informed care and evidence-based treatment practices.

▫ Proficiency in Microsoft Office (Word, Outlook, Excel) and Electronic Health Records (EHR) systems.
