Parish Accountant

Job Summary
- Work closely with the Pastor managing the financial business of the parish, school, and PSR. Work closely with the Finance Council attending all meetings and providing financial information.
- Work closely with the school principal on enrollment and school financial information.
- Work closely with the CRE on PSR enrollment and PSR financial information.
- Maintain QuickBooks financial bookkeeping system; including accounts payable, receivable, parishioner donations, all fundraising income/expenses, payroll and cash receipts.
Job Responsibilities
ACCOUNTS PAYABLE/RECEIVABLE
- Review and code all check requests and invoices and process payments.
- Review, code, and enter all cash/check deposits.
- Review and code all checks with the bank’s Positive Pay system.
- Initiate all bank transfers and related activities, including SLAF accounts.
- Reconcile all parish accounts.
TUITION & RECEIVABLES FOR DAY SCHOOL AND PREK/PRESCHOOL
- Work with the Principal and Finance Council to establish tuition rates for upcoming school year.
- Work with the Archdiocese Scholarship Committee for tuition grants.
- Work with the school parents and the Tuition Committee members for families needing assistance.
- Once determinations are made, send notifications to families.
- Enter tuition charges, credits, and payments into FACTS.
- Run FACTS reports 2x per month to check balances and follow up with parents on any past due amounts.
BUDGET
- Work with the Pastor, Principal, CRE, Finance Council, and organizations to prepare the parish budget for upcoming fiscal year.
PAYROLL
- Provide bookkeeping and payroll services for the parish, PSR, and school employees.
- Collect time sheets, review for signatures, and enter payroll information into Citrix Payroll to process.
- Yearly, prepare the timesheet template and distribute it to all employees.
HUMAN RESOURCES
- Liaison between parish employees and Archdiocese HR department.
- Prepare and distribute any policy changes relating to HR. Prepare new-hire, termination and retirement paperwork as needed.
- Prepare faculty contracts and staff agreements.
- Maintain all parish and school personnel files.
PSR
- Work with the Pastor and PSR Coordinator on determining PSR tuition rates and catechist pay.
- Enter tuition charges, credits, and payments into QuickBooks.
- Run reports once a month to check balances and follow up with parents on any past due amounts.
PARISH ORGANIZATIONS
- Liaison for all parish and school organizations.
- Maintain all parish and school organization’s restricted financial accounts.
- Prepare and distribute monthly financial reports for their organization for their review.
ADMINISTRATIVE/ETC
- Liaison with Archdiocesan Finance Office, Risk Management Office, Building and Real Estate Office, and the Office of Human Resources.
- Work with the Pastor to prepare and submit grant applications.
- File applications for all permits and licenses as required for fundraising events.
- Attend monthly Finance Council meetings. Attend Tuition Committee meetings monthly or when needed.
- Review current vendor contracts and negotiate when necessary.
- Pastor signs all contracts and agreements when needed.
- Work with our Safe Environment Coordinator to ensure all employees, volunteers, and vendors are in compliance with the Archdiocese Prevent and Protect program.
Job Requirements
SKILLS & ATTITUDES REQUIRED FOR SUCCESS IN JOB
General knowledge and support of the Catholic Church, Catholic sacraments, Catholic rites and liturgies.
Must have organizational skills and work independently.
Must have the ability to meet deadlines for payroll and financial reports.
Must have ability to maintain confidentiality.
Must be able to work with the Pastor, Facilities Manager, Office Manager, and staff members.
Must be able to work with Finance Council, Tuition Hardship Committee, all parish and school organizations, and school and PSR parents.
JOB REQUIREMENTS
- Bachelor’s degree in Accounting or equivalent
- Three to five years experience in bookkeeping
- Previous experience in QuickBooks, Microsoft Word, Excel, and Access.
- Previous training or applicable experience
