Job Summary

The Parish Secretary will serve as an integral part of the parish community. This valued resource will act as a receptionist and perform secretarial and other related office services. Some basic bookkeeping duties will also be the responsibility of the Parish Secretary. Currently the position is Monday - Wednesday - Friday but could possibly include Tuesday every week or every other week. Hours are negotiable.

Job Responsibilities

  • Must be able to maintain confidentiality in all matters
  • Provides secretarial and clerical services to the pastor and other designated staff.
  • Provides receptionist services for the parish office including the recording of clear and accurate messages, the handling of routine questions about policies, events, etc. and greeting visitors.
  • Distributes mail and other related material
  • Monitors office supplies and postage
  • Schedules parish facilities. Maintains a calendar that identifies the time, date, name of organization as well as room or building scheduled to use. Coordinates the use of keys for facilities
  • Oversees rentals of St. Sabina and St. Martin de Porres including collecting security deposits, rental fees and the necessary paperwork 
  • Coordinates scheduling of weddings, baptisms, funerals and other events. Contacts appropriate persons involved, communicates with families/relatives regarding procedures for services
  • Oversees office volunteers including training and support 
  • Verifies Fish Fry money and prepares the deposit and startup cash for the following week
  • Counts and prepares deposit of extra collection envelopes and other checks received
  • Prepares the deposit reports for Shared Accounting
  • Types the pulpit announcements for the Sunday Masses
  • Updates the hospital and sick lists
  • Prepares collection bags for weekly collection
  • Mail bulletins and distributes in-office copies
  • Maintains sacramental records for the parish in both the sacramental books and on Parish Helper
  • Works closely with Shared Accounting sending them bills and other financial information and prints the checks for the pastors signature
  • Maintains the accounts payable files and other filing as necessary
  • Is the liaison with HR and Payroll for current and new employees
  • Collects timesheets and enters in Lawson. Keeps track of vacation and sick time
  • Fills in for the Business Manager for vacations and days off including preparing the bulletin
  • Performs other duties as assigned

Job Requirements

  • 3+ years experience in a general office environment
  • Proficiency in Microsoft Office Suite (Excel, Word, Publisher)
  • Skilled in using a personal computer including email and internet
  • Have experience using copiers, fax machines and other office equipment
  • Previous experience in Servant Keeper and Parish Helper desirable
  • Will work closely with Pastor, Associates and other parish employees
  • Must have well developed "people skiis" in interacting with all who call or come to the parish office
  • Must have good time-management and organizational skills
