Job Summary
The Data Coordinator is an administrative role that plays an important role in advancing the parish mission through maintaining the parish databases including registering new and updating current parishioners, as well as assisting with contributions and year end statements. This role ensures efficient operations, alignment with parish goals, and effective staff and ministry support.
Job Responsibilities
- Parish Data Management:
- Manage parish databases (i.e. Servant Keeper, Parish Helper, etc.) to facilitate data analyses and provide information and reports to support financial, operational, and event-related decisions.
- Maintain Servant Keeper by entering all contributions from weekly envelopes, ACH deposits, and “We Share” donations; setting up and maintaining Auto debits; entering stipends and managing year end contribution statements.
- Record and maintain all records of Capital Campaign and ACA pledges and donations.
- Ensure the parish database (Servant Keeper) and communication platform (Flocknote) are up to date by entering new parishioners and processing information on deceased parishioners, address changes, and other updates to parishioner families.
- Create reports to support financial-related decisions, ACA and capital campaign activities, school and ministry initiatives, and updates for the Guide Book Directory, ensuring all information is accurate and timely.
- Coordinate with Church Budget to ensure of all parishioners to receive appropriate contribution envelopes.
- In coordination with the Administrative Coordinator record, update and submit the Status Animarum for the parish.
- Event and Sacrament Scheduling:
- Maintain and oversee parish calendars for sacraments, events, and facility usage.
- Collaborate with the Administrative Coordinator for event and sacramental scheduling
- Administrative Support:
- Prepare and distribute the monthly Priests’ Mass Schedule, reconciling monthly with Mass Intentions Online, allocate stipends for celebrants, and maintain related financial records.
- Assist with the Annual Catholic Appeal (ACA) and Capital Campaign preparing computer lists, ordering supplies, and mailing cards and funds.
- Support parish mailings, ensuring sufficient postage in the USPS Bulk Mailing Account
- In collaboration with the Administrative Assistant, coordinates Rice Bowl donations
- Assist the Administrative Assistant/Receptionist as needed as back up to answering phones, greeting visitors, and handling charity requests.
- Perform other duties as assigned by the Pastor and/or Director of Development and Administrative Services.
Job Requirements
- Bachelor’s degree in business administration or a related field preferred.
- Three to five years of experience in data management, with the ability to work 40 hours per week and occasional weekends and evenings.
