Job Summary

The Administrative Assistant is the key backup to the Business Manager and responsible for the handling of the weekly offertory and parish record keeping. Also, will act as the liaison with the Archdiocesan Shared Accounting processing accounts payable and the bank deposit, and coordinates the online offertory, online Mass intention and online Ministry scheduler platforms. Responsible for coordinating parish level HR duties in conjunction with the Archdiocesan Human Resource Department.

Job Responsibilities

-    Coordinate the parish money counting teams 
-    Coordinate the recording of the weekly offertory
-    Coordinate the parish recordkeeping program – Servant Keeper
-    Process the weekly deposit and other varied bank transactions
-    Process weekly AP with Shared Accounting, submitting invoices for payment and the processing and mailing of checks. 
-    Assist in onboarding new employees and answering questions about benefits
-    Process payroll for parish staff
-    Process the monthly Mass stipend payments
-    Coordinate parish electronic offertory platform, online Mass intention platform and parish ministry scheduling platform
-    Coordinate parish mailings 
-    Other administrative tasks critical to the smooth operation of the parish office
 

Job Requirements

Knowledge & Experience Requirements  
-    Strong organizational and interpersonal skills
-    Proficient in all Microsoft Office Programs
-    Familiarity with Servant Keeper, WeShare and Ministry Scheduler a plus


-    Comfortable learning new things
-    Ability to adapt and to prioritize tasks
-    Ability to work well with others
