Job Summary
The School Finance and Administrative Support Coordinator serves as a key liaison between school families, the Parish Office, and school administration. This role manages various financial operations, including tuition, care program fees, lunch payments, and purchasing, while also supporting compliance efforts and assisting with front office coverage as needed. The coordinator ensures clear communication with parents, staff, and parish leadership to maintain smooth financial and administrative processes across the school and parish.
Job Responsibilities

Assist parents with tuition-related questions and concerns throughout the school year, in coordination with the Advancement Director.

Manage and deposit Before & After School Care and lunch program fees; notify parents of outstanding balances.

Oversee purchasing for High School and Elementary through the Parish Office.

Collect school funds and submit with appropriate documentation to the Parish Office for deposit.

Gather signed purchase orders and deliver to the Parish Office to support payment processing and credit card reconciliation.

Provide front office coverage as needed (e.g., during staff vacation or sick leave).

Collaborate with the Parish Office Manager on school-related transportation matters, including bus fees, invoices, and communication with bus drivers.

Deposit tuition payments and coordinate with Todd regarding tuition questions and scholarship management.

Coordinate the Protecting God’s Children program for both the parish and school communities.
Job Requirements

Strong Communication Skills: Ability to clearly and professionally communicate with parents, staff, and parish personnel, both in writing and verbally.

Financial and Administrative Accuracy: Experience handling payments, deposits, invoices, and reconciliation with high attention to detail.

Organization and Time Management: Ability to manage multiple responsibilities and deadlines efficiently.

Customer Service Orientation: Friendly, helpful, and patient when working with parents and staff on financial or administrative matters.

Team Collaboration: Works well with school and parish teams; reliable in covering front office tasks when needed.

Discretion and Confidentiality: Trusted to handle sensitive financial and personal information appropriately.

Basic Accounting Knowledge: Familiarity with financial procedures such as billing, purchasing, and reconciling accounts.
