Job Summary
The Advancement Assistant supports the advancement and development efforts of the organization by providing administrative, communication, and event coordination support. This role helps maintain accurate donor records, assist with fundraising activities, and ensure smooth operations within the advancement office. The Advancement Assistant plays a key part in strengthening donor engagement and supporting the organization’s mission through organized and professional support.
Job Responsibilities

Maintain and update donor databases, gift records, and mailing lists.

Assist with processing donations, generating receipts, and preparing acknowledgment letters.

Support planning and execution of fundraising events, stewardship activities, and donor meetings.

Help create and organize outreach materials such as newsletters, emails, invitations, and reports.

Manage scheduling, correspondence, and general administrative tasks for the advancement office.

Prepare mailing projects, assemble event materials, and track attendance or RSVPs.

Conduct basic research on donors, prospects, and community partners as needed.

Coordinate with staff, volunteers, and vendors to ensure smooth event operations.

Provide professional and friendly customer service to donors, families, and community members.
Job Requirements

Strong organizational and administrative skills with a high level of attention to detail.

Ability to communicate clearly and professionally in person, by phone, and in writing.

Comfortable managing multiple tasks and meeting deadlines.

Proficiency with office software; experience with donor databases preferred but not required.

Ability to work collaboratively with staff and maintain confidentiality.

Prior experience in administrative support, fundraising, or customer service is helpful.
