Position Summary
The Admissions Coordinator is an integral member of the Advancement Team, responsible for supporting the recruitment and retention of students at Bishop DuBourg High School. Working under the direction of the Principal and in collaboration with the Advancement and Administrative Teams, the Admissions Coordinator assists in implementing recruitment strategies, coordinating events, and managing admissions processes. This role requires a high level of organization, strong interpersonal communication, and a commitment to the mission and values of Catholic education.

Job Responsibilities
Faith Formation
- Participate in school faith activities, including all-school Masses, Faculty/Staff Day of Prayer, and weekly staff prayer and meetings.
- Exhibit a lifestyle consistent with Catholic values through public behavior, language, and actions.
Team Collaboration
- Attend weekly Advancement Team meetings.
- Maintain open, respectful, and timely communication with colleagues and administrators.
- Demonstrate professionalism in appearance, punctuality, work ethic, and willingness to support after-hours events as needed.
Recruitment & Admissions Support
- Assist in executing the school’s Enrollment Management Plan under the guidance of the Director of Admissions and Advancement leadership.
- Coordinate logistics for student shadow days, school tours, open houses, and recruitment events such as High School Nights and Pack the Stands.
- Manage scheduling and communication for Student and Parent Ambassador programs.
- Help maintain admissions databases and prepare application files for review by the Admissions Committee.
- Process applications and support transfer student enrollment.
- Communicate with prospective families and school contacts in a professional and timely manner.
Event Coordination
Support and execute admissions events throughout the year, including but not limited to:
- Shadow Days
- Open House
- High School Nights
- New Student Orientation
- Freshman Registration and Placement Testing
- Welcome Picnic
- Prospective Family Tours
- Cav for a Day
- Incoming freshman summer welcome camp
- Ice Cream Socials and Rec Nights
- Additional events as deemed necessary
For each event:
- Create and distribute invitations and promotional materials.
- Collaborate with internal stakeholders and external contacts.
- Track event attendance and outcomes, prepare reports, and evaluate success for future improvement.
Retention Efforts
- Support student retention initiatives, including communication with current families and organizing programming to enhance student engagement.
- Assist in compiling data and feedback from families exiting the school.
Job Requirements
Qualifications
- Bachelor’s degree preferred, ideally in marketing, business, education, or a related field.
- Prior experience in admissions, event planning, or marketing in an educational or nonprofit setting is a plus.
- Strong public speaking and written communication skills.
- Proficiency in Microsoft Office (Excel, PowerPoint, Publisher) and basic database management.
- Demonstrated ability to work collaboratively, manage multiple projects, and meet deadlines.
- Must be available to work some evenings and weekends for events.
