Job Summary

Job Title: Assistant Property Manager
Pay Range: $17–$20/hour

 

Position Summary:
The Assistant Property Manager supports the Apartment Manager in overseeing HUD-subsidized properties. This role ensures quality care for residents, manages financial documentation, and maintains compliance with funding sources. It requires attention to detail, strong communication, and a commitment to service.


 

Key Responsibilities:

  • Serve as backup to the Property Manager when needed
  • Respond to emergency calls and conduct resident wellness checks
  • Communicate resident concerns to the Manager
  • Assist with budgeting and expense coding
  • Verify and submit expenditures for approval
  • Process certifications and annual recertifications for tenants
  • Maintain accurate and organized resident files
  • Complete monthly accounting reports and TRACS submissions
  • Resolve TRACS errors promptly
  • Manage security deposit reimbursements and documentation
  • Collect rent and fees; submit deposit records
  • Monitor and reorder office supplies
  • Assist with maintenance work orders and billing
  • Perform receptionist duties: answer phones, distribute mail, etc.
  • Support quality improvement projects based on resident feedback
  • Ensure staff compliance with HR policies and procedures
  • Follow HUD and CRSS policies
  • Perform other duties as assigned

 

Qualifications & Experience:

  • Associate degree in Business Administration or Accounting preferred
  • Bookkeeping or accounting background preferred
  • Certification (or ability to be certified) by Quadel or similar agency required
  • Experience in apartment management preferred
  • Proficient in Microsoft Excel and Word

 

Skills & Attributes:

  • Compassionate, detail-oriented, and organized
  • Strong communication skills with seniors, families, and agencies
  • Able to manage sensitive financial matters professionally
  • Comfortable handling resident and family requests with care
  • Basic math and recordkeeping skills

 

Working Relationships:

  • Collaborate daily with Service Coordinators, Health Promotion Nurse, and Resident Assistants
  • Engage with residents on confidential financial matters
  • Maintain open communication with the Property Manager
  • Work as part of a cohesive team
  • Meet deadlines and stay compliant with all regulations

 

Accountabilities:

  • Serve residents of the building
  • Manage two annual budgets (operations and activities)
  • Oversee office, maintenance, and volunteers in Manager’s absence
  • Handle daily financial transactions and reporting
