Position Summary:

The Parish Payroll Manager is responsible for accurately and efficiently managing the payroll process for all parish employees, ensuring compliance with federal, state, and archdiocesan regulations. This role includes maintaining accurate records, coordinating employee benefits reporting, and working collaboratively with parish staff and diocesan offices.

Job Responsibilities

  • Process payroll on a regular schedule (e.g., bi-weekly or semi-monthly), ensuring accuracy and timeliness.
  • Maintain employee payroll records, including time sheets, pay rates, benefit deductions, and tax information.
  • Ensure compliance with all applicable labor laws, tax laws, and archdiocesan policies.
  • Coordinate with the Archdiocesan Payroll Office (if applicable) for reporting and audits.
  • Manage payroll tax filings, W-2 and 1099 forms, and year-end reporting.
  • Respond to employee inquiries regarding payroll, tax withholdings, and benefit deductions.
  • Assist with onboarding new hires and setting up payroll and benefits.
  • Reconcile payroll reports and general ledger accounts related to payroll.
  • Prepare reports for the pastor, parish finance council, and archdiocese as needed.
  • Maintain confidentiality of all employee and financial information.

Job Requirements

  • Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field preferred.
  • 2+ years of payroll experience; experience with a church or nonprofit organization is a plus.
  • Strong knowledge of payroll software and accounting systems (e.g., Paychex, ADP, QuickBooks, etc.).
  • Familiarity with relevant employment and tax laws.
  • High level of accuracy and attention to detail.
  • Strong organizational and communication skills.
  • Must be able to maintain confidentiality and exhibit integrity.
  • Commitment to the mission and values of the Catholic Church; practicing Catholic preferred but not required.

Working Conditions

  • Office environment with regular use of computers and office equipment.
  • May require occasional evening or weekend hours, especially around fiscal year-end or during audits.
