Job Summary
The Parish Secretary serves as the primary administrative and clerical support for the parish, assisting the pastor and parish staff while acting as a welcoming and professional point of contact for parishioners and visitors. This position supports the mission of the Catholic Church through efficient office operations, confidentiality, and a spirit of service.
Job Responsibilities
Administrative & Office Support

Serve as the primary receptionist, answering phones, emails, and greeting visitors courteously

Maintain parish calendars, schedules, and facility reservations

Prepare correspondence, bulletins, newsletters, and parish communications

Maintain organized filing systems (physical and electronic)

Order office supplies and manage office equipment
Sacramental & Parish Records

Maintain confidential sacramental records (Baptism, First Communion, Confirmation, Marriage)

Prepare certificates and letters as requested, following diocesan guidelines

Assist parishioners with sacramental preparation paperwork
Financial & Data Support

Assist with basic bookkeeping tasks (donations, invoices, deposits, reports) as assigned

Maintain parish database and update parishioner records

Process mail, payments, and routine financial documentation
Job Requirements

Practicing Catholic in good standing preferred

High school diploma required; associate degree or equivalent experience preferred

Prior administrative or secretarial experience

Proficiency in Microsoft Office, Google Workspace, or similar software

Ability to maintain confidentiality and handle sensitive information

Strong organizational and time-management skills

Excellent written and verbal communication skills

Professional demeanor and interpersonal skills

Ability to work independently and as part of a faith-centered team

Understanding of Catholic Church structure, terminology, and sacramental practices
