Position Summary
Responsible for supporting the pastor of Epiphany of Our Lord and St. James the Greater Parish by organizing the operations of Epiphany of Our Lord Parish office, serving as first point of contact welcoming visitors, responding to parishioner communications and maintaining records for sacraments, contributions, and cash logs. This role will be responsible for handling and maintaining parishioner records, scheduling facility utilization, and providing overall clerical assistance to the office in support of the Epiphany of Our Lord and St. James the Greater Parish communities.
Job Responsibilities
Duties & Responsibilities
- Support Business Manager in conducting and improving core parish procedures to grow disciples across two campuses.
- Give a warm welcome to all visitors and parishioners during normal business hours.
- Organize the operations of the parish office, giving direction to volunteers.
- Responsible for ordering office and rectory supplies
- Maintains the sign-out sheet for keys and tamperproof bags for fundraisers
- Distributes mail and other related material.
- Responsible for New Parishioner registrations
- Maintains the Mass Intention book scheduling, cards, and money.
- Maintains the monthly cash log for any incoming funds dropped off to the rectory.
- Maintain sacramental records both in hard copy and Archdiocesan database.
- Maintain parish records regarding parishioners and their contributions.
- Maintains the parish calendar and room reservations.
- Schedule utilization and door access of both parish facilities.
- Oversees volunteers responsible for the parish bulletin in updating the parish calendar, scheduled events, etc.
- Assist the Priest in coordinating funerals, baptisms, and weddings.
- Collaborate with other parish leaders in scheduling parish events and fundraisers.
- Participate in once-monthly parish staff meeting.
- Discharge other duties as assigned by the office manager or pastor
- Maintains confidentiality in all areas of responsibility as required.
Job Requirements
Knowledge & Experience Requirements
- Proficiency in Word, Outlook, Explorer, and Chrome.
- Proficiency in Microsoft Windows.
- Knowledge of Citrix, Servant Keeper, and Parish Helper software preferred.

Relationships Requirements
- Collaborate closely with office manager, staff, volunteers, and the Office of Child and Youth Protection.
- While the work may generally be performed seated at a desk, the candidate must be able to navigate steps and walk to various locations throughout the campus.
- Available during normal business hours.
