Job Summary
Compiles and maintains accounts payable records by performing the following duties.
Job Responsibilities
· Reviews accounts payable invoices for all Archdiocesan agencies for proper payment amount and timing.
· Prepares accounts payable checks through the Lawson Accounts Payable module and the Document Express check writing system.
· Prepares cash transfer entries through a vb.net database application.
· Scans and files closed payables.
· Voids or stops payment of accounts payable checks as necessary, prepares cash transfer entry to record voided payment.
· Answers agency payment inquiries.
· Assists in monthly closings.
· Assists with special projects as directed by the Accounts Payable Supervisor or other managers as directed.

· Detail-oriented in reviewing keying and vendor information for accuracy.
· Mathematical Skills – Ability to calculate figures and amounts such as discounts, proportions and percentages. Ability to apply concepts of basic algebra.
· Language Skills - Ability to read and understand the diverse vendor invoices received for processing by AP. Ability to easily communicate in writing and in speech in the English language.
· Reasoning Ability – Ability to solve practical problems. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to define problems and communicate with team members or management to reach problem resolution.
· Assertive yet courteous -- able to deal effectively with people, both within the Archdiocese and vendors.
· Organized – able to finish reviewing payables within timeframe and process and mail checks in the same day. Also able to look ahead at upcoming situations and plan accordingly.
· Communicates well – lets Supervisor know about potential problems clearly and in a timely manner. Asks the necessary questions about payables.
· Flexible -- willing and able to change schedule and routine to meet the needs of the job, the department and the Finance Office.
· Cooperative -- willing to help in other areas of the Finance Office as needed.
· General Knowledge of Accounts Payable Processes--vendor terms, discounts, invoices vs. statements would be a plus but is not required.
· Creative -- willing to consistently and continually review processes with an eye to improve methods.
Working Conditions

· Physical Abilities - The successful candidate will work in a standard office environment and make use of standard business assets including by not limited to personal computers, printers, copiers and file cabinets. Physical competencies must include, but are not limited to, abilities to move between floors within the building, work at a personal computer for extended periods of time, reach to retrieve objects or reports and navigate in the general office as required by job duties.
