Job Summary

Seeking a dedicated and organized Parish Secretary to provide administrative and clerical support to the parish office. The Parish Secretary plays a vital role in facilitating effective communication, managing daily office operations, and supporting the pastoral mission of the parish in a professional and courteous manner consistent with Catholic values.

Job Responsibilities

  • Greet visitors and respond to telephone and email inquiries promptly and courteously

  • Manage scheduling for parish events, sacramental preparation, and meetings

  • Maintain accurate parish records, including sacramental registers, membership data, and mailing lists

  • Prepare and distribute parish communications such as bulletins, newsletters, and announcements

  • Coordinate with liturgical and ministry leaders to support parish activities and special events

  • Assist with financial record keeping including donations, fundraising, and petty cash as assigned

  • Ensure the confidentiality and security of sensitive parish information

  • Maintain office supplies and equipment, and coordinate repairs and maintenance as needed

  • Perform general clerical duties including data entry, filing, photocopying, and mail processing

  • Support the Pastor, parish staff, and volunteers with various administrative tasks

  • Uphold the mission and teachings of the Catholic Church in all communications and interactions

Job Requirements

  • Previous experience in office administration, preferably in a church or nonprofit setting

  • Proficient with Microsoft Office Suite, database management (e.g., ParishSoft, ACS), and office equipment

  • Excellent verbal and written communication skills

  • Strong organizational skills and attention to detail

  • Ability to multitask, prioritize, and work independently with minimal supervision

  • Discretion and professionalism in handling confidential information

  • Practicing Catholic preferred, with a willingness to support parish mission and values

  • Completion of diocesan Safe Environment Training and background checks required
