Job Summary

We are seeking a friendly, organized, and professional Receptionist to join our team. As the first point of contact for visitors and clients, the Receptionist plays a key role in creating a positive first impression. This position is responsible for managing front desk operations, including greeting guests, handling incoming calls, and supporting administrative tasks to ensure the smooth functioning of the office.

Job Responsibilities

  • Greet and welcome visitors in a warm and professional manner

  • Answer, screen, and forward incoming phone calls to appropriate departments

  • Maintain a clean, organized, and presentable reception area

  • Receive, sort, and distribute daily mail and deliveries

  • Schedule appointments and manage meeting room calendars

  • Provide basic and accurate information to clients and visitors

  • Maintain office security by following safety procedures and controlling access via the front desk (monitor logbook, issue visitor badges, etc.)

  • Perform other administrative support tasks such as filing, photocopying, data entry, and managing office supplies

  • Assist various departments with general administrative tasks when needed

Job Requirements

  • High school diploma or equivalent; associate degree or administrative certification is a plus

  • Proven work experience as a receptionist, front desk representative, or similar role

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

  • Excellent verbal and written communication skills

  • Strong organizational and time-management abilities

  • Customer service attitude and professional appearance

  • Ability to multitask and remain calm under pressure

  • Familiarity with office equipment (e.g. fax machines, printers, phone systems)
